What does the wedding venue rental include?

Use of the Posey Meadows outdoor ceremony site, outdoor cocktail patio, and modern farmhouse reception hall.

We only host one event each day. Your wedding is our sole priority.

A venue manager is onsite for your entire event. Before your event, we set up your tables and chairs.

Do you provide a wedding planner or coordinator?

We do not, but a professional wedding planner or coordinator is required. We will provide you with a list of preferred vendors. If you would like to work with a professional planner, not on our list, we will need to meet with them and approve them. We have specific requirements for vendors to be sure they make your day the best and follow our guidelines.

How long do we have the venue?
You have event time at the venue from 12:00 pm – 11:00 pm (11 hours). The last hour is for
cleanup, 11:00 pm – 12:00 am (1 hour).
What about rehearsals?

You may reserve a one-hour rehearsal a month in advance based on availability.

The ceremony site

Surrounding Posey Meadows are ten acres of landscaped and naturally cultivated native plants, including our outdoor ceremony site. It sits underneath a grove of beautiful mature oak trees. We provide up to 250 white chairs at the ceremony site.

What if the weather is bad?

If there is bad weather, you can choose to move the ceremony inside and hold it in our reception hall. We need two hours of notice to set up the inside ceremony, so it is ready when your guests arrive. For inside ceremonies, we move the head table(s) and make room for the couple to get married in front of the hall’s dramatic floor-to-ceiling windows. We set up a small number of chairs for the immediate family in an aisle the couple can walk down. All other guests sit at the preset tables.

The cocktail patio

The spacious cocktail patio is a short stroll from the ceremony site. It’s attached to the reception hall.

Do we need to hire a bartender?
Can we supply drinks or hard liquor?

No. Posey Meadows provides everything you need for your bar.

If it’s cold outside, do you have heaters?

Yes. We have heaters available for the colder months of the year.

Can we hire a caterer, or do you have in-house catering?

We don’t offer catering. We have a preferred vendor list you can choose from. If you do not use a caterer from our list, the caterer you use must be full-service. We will need to meet with them and approve them to be sure they meet vendor requirements.

Can we choose our own vendors for flowers or décor?

Yes. We will provide a list of preferred vendors, but you are free to choose your own vendors (other than those exceptions previously mentioned above for wedding planners, bartenders, and caterers).

When can my vendors set up?
Vendors can begin setting up at noon unless you arrange to buy additional hours.
Do you have decorations we can choose from, or can we bring decorations?

You are welcome to bring your decorations. We do not provide decorations.

Can we rearrange the furniture?

All furnishings should stay in their original locations.

Can we use the venue for a rehearsal dinner or brunch?

Yes. If you would like to book the venue for another day, we can add it to the contract with fees for the additional hours.

Can we hire a live band or a DJ?

Yes. A DJ is always welcome. We can accommodate a band if there’s room. It depends on how many guests attend and the space the band needs.

Is noise an issue at the venue?

Normal celebration noise is not a problem, but all guests and entertainers must follow Hays County noise ordinances.

Bridal Suites, Groom Suites, restrooms, and accessibility

What are your suites like for brides and grooms?
Our suites are stylish, relaxing, and comfortable for brides and grooms.

The Bridal Suite includes three vanity stations and a private restroom. The Groom’s Suite includes leather couches, a large TV, and a private patio area

What are the bathrooms like for the venue?
The common restrooms are on the ground floor level. The women’s restroom has three private stalls. The men’s room has three urinals and one private stall.

The doorways and downstairs restrooms are wheelchair accessible.

Hotels, transportation, parking, and security

Are there hotels near the venue?
Yes. We include a list of nearby hotels on our preferred vendor list.
How do guests get from hotels or the airport to the venue?

We do not provide transportation. However, you can arrange transport with a private company. You can also check with your hotel to see if they offer free shuttle services.

Do cabs, Uber, or Lyft go to the venue?

Yes. You can arrange a ride to or from the venue. Please note that guests cannot leave their cars at the venue overnight.

Is parking included?

Yes, there is parking on site. Your venue rental includes free use of the parking area.

Do you require security officers?

We require security officers for every event. We usually work with Hays County off-duty officers. However, we will also allow other licensed security companies.

Payments and deposits

How do we make payments?

We accept cash, checks, and ACH bank transfers. We also accept credit card payments with an added three percent (3%) fee.

What are the terms for deposits?

A fifty percent (50%) deposit of the wedding venue rental fee and a $1,000 refundable damage deposit are required to reserve a date. The other fifty percent (50%) is due sixty days before the event.

Is there a cancellation policy?

All deposits and payments are nonrefundable except for the refundable damage deposit (returned with staff approval).
